Columns

  • Date — required — any common date shape
  • Description — required — becomes the memo, and the payee if you opt in
  • Amount — required — signed in/out, or use Debit + Credit columns
  • Fee — optional — splits processor fees to their own account

Output

.iif · tab-delimited !TRNS/!SPL blocks, balanced to zero, dates as MM/DD/YYYY.

Then import in QuickBooks Desktop: File → Utilities → Import → Import IIF Files

How to use this file in QuickBooks Desktop

Work on a backup. Run File → Back Up Company first; imports are easiest to undo on a copy of the company file.

  1. In PayPal, go to Activity → Statements → Activity download and export the CSV for your date range.
  2. Load the CSV here — the PayPal preset maps Net to the bank amount, Fee to the fee column, and Date to the date.
  3. Enter your exact QuickBooks bank account name, a category account (such as Sales), and your fee account.
  4. Download the .iif and import it in QuickBooks Desktop: File → Utilities → Import → Import IIF Files.
  5. Verify a few transactions and compare totals against the PayPal balance report.
